User Classifications
DMSlite makes user management easy intuitive avoids unnecessary complications by creating two types of user classifications
· User groups
· User Profile
User groups is a collection of application users who are likely to have similar access rights on documents. For e.g. Accounts user group, Management group etc.
User profiles are system defined user roles that cater to specific types of user functions. They are broadly divided into 3 main types: visitor, member and owner. An owner has complete rights over the files or folders he owns, a visitor can only view them and had no modification rights. A member meanwhile has restricted rights. Access Management using groups and profiles
DMSLite gives the flexibility to work both with individual users and user groups. For every file or folder there exist three levels of user profile (Visitor, member or owner). Individual users or user groups can be assigned to these profiles.
By right clicking a file or folder one can view the users and groups assigned to various profiles. A user can use the look-up option to make more selections of users and groups. These saves settings are used for defining the access privileges for all users
Adding new user
The user group concept makes it very easy to get a new user gain the right privileges in the system without having to individually assign him rights on each file and folder.
For e.g. a new accountant joins the firm, the administrator simply has to add him to the accountant group. He automatically gains access to all the areas where the account user group has privileges. Individual privileges can be granted for files or folders if needed
Never lose user activity information
A user can never be deleted in the document management system. The system only allows deactivation of user profiles. This is necessary to be able to view user activity on various files.
