In an unmanaged and large set-ups, often the problems of work duplication and overwrite comes forth as a great frustration to workers. After working for hours together, they upload a document only to be overwritten by an unsuspecting colleague. Not only is this irritating for the hard working user but also a shameful waste of resources and time.
Document Locking is simple solution to this problem. Using the document locking feature, users are assured that only one person is working on a document at a time.
The procedure is very simple, every time a user wants to work on a document and ensure that all other users cannot make modifications or upload their changes, he locks the document.
Visually identified
A locked document appears highlighted to all other users except for the user currently working on it. They intuitively understand that someone is currently working on it and they have to wait in order to make changes.
Know who has locked
Users immediately get to know who has locked the document as this information is displayed in the document listing
Locked document restrictions
When a document is locked by a user, the system does not let any other user overwrite the document. So there is no chance that any information is lost or overwritten
Unlocking the document
Once the user has finished his tasks he simply clicks the unlock button so that the file is open for other users. He may prevent loosing information by switching on version management
Unlock reminders
The application ensures that users don’t lock documents and forget about them. An alert system is integrated in the dashboard that notifies the user that he has locked documents that need to be unlocked
